Card Payment Reconciliation and Settlement Redesign

For a national non-profit: we redesigned how credit and debit card payments move from the bank into the books, so finance staff only step in when something looks wrong.

Project Summary

The Result: Card payment clearing moved from up to 5 business days to the same day. 92% of card donations now post into the accounting system with no retyping. Double charges dropped to zero. Donors get tax receipts right away instead of waiting days.

The Problem: The foundation took many credit and debit card donations by phone. Staff typed card details into payment tools and spreadsheets, then keyed successes into accounting. The bank side lived in separate statement files. Finance could not confirm a card payment was settled until someone manually matched lines, often 3 to 5 days later. That delay slowed tax receipts, created extra admin work, and left room for the same payment to be entered twice.

What we did: We replaced the manual spreadsheet matching process with an automated workflow, that matches bank payments to their donors, and finance staff only review unclear cases.

4. How it works

Automation clears the routine volume. Finance staff stay in control of anything unclear or risky.

System decides

  • Clean and protect card data before matching
  • Match each payment to the right donor (name, amount, timing)
  • Post near-certain matches to the accounting system the same day
  • Send the tax receipt when a match clears
  • Ignore a payment the bank sends twice, so nobody is charged twice

People decide

  • Review unclear matches on a staff list with a clear reason
  • Handle failed or declined card payments
  • Approve a legitimate name variance, or flag fraud and chargebacks
  • Keep an audit trail on every exception path
  • Feed approved name fixes back so future matching improves
